Cancellation/Substitution Policy 

All cancellations will be subject to a $75 administrative fee. Cancellations must be sent in writing via email to Registration Customer Support by Friday, July 11, 2025. Telephone cancellations will not be accepted. After Friday, July 11, 2025, substitutions will be allowed in the event the registrant is unable to attend, but no refunds will be issued. Telephone substitutions will be permitted.

Exhibitors may cancel badges or submit substitutions. To do so, please email Registration Customer Support.

 

Booth cancellations must be submitted in writing to exhibits@iafc.org. Booth staff substitutions must be submitted in writing to our Registration Customer Support Center.  For additional booth staff that incurred a fee, cancellations will be subject to a $75 administrative fee. Cancellations must be emailed in writing to Registration Customer Support by Friday, July 11, 2025. Telephone cancellations will not be accepted. After Friday, July 11, 2025, substitutions will be allowed if the registrant cannot attend, but no refunds will be issued. Telephone substitutions will be permitted by calling 985-240-5511.

 

Video & Photography Release

The IAFC reserves the right to use any photograph or video taken at any event hosted by the IAFC without the expressed written permission of those included within the photograph or video. The IAFC may use the photograph or video in publications or other media material produced, used, or contracted by the IAFC, including but not limited to websites, social media, e-communications, brochures, invitations, posters, flyers, books, newspapers, magazines, television, etc.

 

Discrimination & Harassment Policy

The International Association of Fire Chiefs (IAFC) has zero-tolerance for discrimination and all forms of harassment, including but not limited to sexual harassment. This zero-tolerance policy means that no form of discriminatory or harassing conduct by or toward any IAFC member, exhibitor, presenter, attendee or staff member will be tolerated.

The IAFC is committed to enforcing its policy at all levels within the association and at any IAFC meeting. Any person who engages in discrimination or harassment will be subject to discipline and possible removal from the conference premises. If you feel that you have been harassed by any person(s), immediately contact the IAFC at 703-273-0911 or conferences@iafc.org or, if on location at an IAFC conference, go to the registration desk and ask to speak to the onsite conference manager.
